Viewing your work orders

The Work orders page is where you decide what needs attention next. You can filter the same work and then view it as a personal queue, status board, sortable table, or calendar.

Use the filter chips across the top of the page to narrow the work-order list:

Filter Use it to find
All Open Everything that has not been completed
Requests Submitted requests waiting for a decision
Not Started Work that has not begun
In Progress Work currently underway
On Hold Work paused by a blocker
Overdue Open work past its due date
Awaiting Review Technician closeouts waiting for management review
Done Final-closed work

Use the search box when you know something about the job you’re looking for. Search can match the work-order number, title, description, location, assigned person, or asset. Filters and search work together.

View Best for Think of it as
To Do Technicians working their queue What should I work on?
Board Seeing work move by status Where is work getting stuck?
Table Sorting and comparing many jobs What needs management attention?
Calendar Planning around due dates When is the work expected?

The left side groups work into Assigned to Me, Assigned to My Teams, and All Open Work Orders. Select a work order and its details open beside the list.

The active board emphasizes Not Started, In Progress, and On Hold work. Completed work is kept in a separate history panel so closed records do not crowd out the active operation.

Columns include number, title, asset, status, priority, assignee, and due date. Select a column heading to sort the list. This is especially useful for managers reviewing workload and deadlines.

When viewing completed work, choose a month and year to keep the history manageable. Completed rows also show whether the work finished on time or how many days late it closed.

Managers can also filter by cost-approval status. Approval badges appear independently from the work-order status so an approved or rejected quote does not change the maintenance lifecycle.

Work orders appear on their due dates in month or week view. Jobs without a due date stay in the No due date tray. Use the visible scheduling action or move a job to another day when your role and assignment allow it.

Technicians may reschedule work assigned to them, but MaintenanceOps requires a meaningful reason note. Managers can reschedule their own work and the technicians they oversee; Super Admins can reschedule work across the organization. Every accepted change is recorded, and a brief undo option appears after a calendar move.

In To Do, selecting a work order opens its full details beside the list. In Board, Table, and Calendar, selecting a work order opens the same details in a pop-up window.

From the work-order details you can handle the job itself — including status, labor time, parts, purchases, photos, comments, and other available actions.

Close the pop-up with the × in the top corner. Clicking outside the window doesn’t close it, which helps prevent an accidental tap from interrupting work you’re entering.

Use Edit to open the focused edit drawer. Use More → Print / Save as PDF to create a complete printable work-order record with the available details, labor, checklist results, costs, photos, documents, and history.

Managers and Super Admins have a dedicated Work Order Approvals page with two tabs:

  • Work Order Request Approvals for new requests and Guided Approval; and
  • Work Awaiting Final Closeout for technician-completed work assigned to that reviewer.

The page can be searched by work-order number, title, technician, or location. Opening a row shows the full work order without leaving the approval queue.

See Requests and approvals for the approval process.

Requestors have a simpler experience. Instead of the full set of filters and views, they see the work they’ve submitted, separated into open requests and closed work orders.

  1. Open Work orders and start in To Do.
  2. Check Assigned to Me for your current jobs.
  3. Open the job you’re working on and change its status to match the work.
  4. Record the work as you go.
  5. Submit technician work for final review, or final-close management work after the required documentation is complete.
