Creating work by voice and quick actions

When you’re standing in front of the problem, the fastest way to capture it is often from your phone. MaintenanceOps gives you a voice workflow for creating a draft work order and a quick-create menu for common field actions.

Voice work order You are in the field and need to capture the issue quickly
Standard work-order form You already know the full details and want to enter them now
Quick create You need a fast shortcut to work orders, assets, or parts on mobile
  1. Open the voice work-order action and select Start.
  2. Answer the prompts for the title, description, and building or location.
  3. Review what MaintenanceOps heard after each answer.
  4. Select Next to continue.
  5. Select Save draft after the final question.

The saved draft is created as Not Started.

After saving, select Open it now to review the draft and add anything that still matters, such as priority, exact location, assignee, due date, category, asset, photos, or supporting details.

You can also select Done and return to the draft later.

Select Switch to typing at any point if you would rather type your answers.

If the browser or device does not support voice input, MaintenanceOps can fall back to the typed workflow so you can still create the draft.

A floating quick-create button gives you shortcuts to:

  • Voice work order
  • Work order
  • Asset
  • Part

Use the shortcut that matches what you are trying to capture rather than navigating back through the full sidebar.

The most valuable field details are often the ones that are easy to forget later. When possible, capture:

  • the exact room or equipment location;
  • a specific description of the condition;
  • the asset or equipment name;
  • photos;
  • any immediate safety or access concern.

On iPhone, organizations can also set up a Siri shortcut for creating a work order by voice. The shortcut can ask for the title, description, and location without opening the app first.

This requires one-time setup. Contact support if your organization wants to configure it.
