Fleet overview and service workflow
The Fleet page brings vehicles, trailers, carts, tractors, and other mobile equipment into the same accountable maintenance workflow as the rest of your operation. It combines paperwork and service due dates, meter-based maintenance, safety inspections, availability, and linked work orders.
Fleet is available to organizations with Fleet access. What you can view or change also depends on your role and permissions.
Understand the Fleet hub
Section titled “Understand the Fleet hub”The Fleet hub highlights conditions that need attention, including:
- Expiring or overdue registration and insurance
- Upcoming or overdue date-based service
- Meter-based service that is due or overdue
- Missing or stale meter readings
- Safety inspections that are due, overdue, or failed
- Vehicles that are currently out of service
Open a class or vehicle to review its full record. A vehicle can include identifying information, registration and insurance dates, meter settings and readings, service intervals, inspection history, linked work orders, and availability history.
Create a Fleet work order
Section titled “Create a Fleet work order”From a condition card or vehicle record, select Create Work Order. MaintenanceOps carries the vehicle and the selected Fleet condition into the new work order so the service record stays connected to the reason the work began.
You can also:
- Select New issue for a problem that is not already shown as a Fleet condition.
- Select View requirement to review the underlying due item.
- Open an existing linked work order when one is already addressing the condition.
- Link an open response work order to an out-of-service event from the vehicle’s availability panel.
The Fleet vehicle remains linked while you finish the normal work-order details. The work order is not complete merely because the Fleet fields have been filled in.
Document service in the work order
Section titled “Document service in the work order”Open Fleet Service inside a work order linked to a Fleet vehicle. Record the fields that explain the service, including:
- Service type, reason, start date, and completion date
- Start and final meter readings when the vehicle uses a meter
- Engine hours when applicable
- Shop or vendor and the person who performed the work
- Optional estimate and invoice or reference number
Before closeout, each linked vehicle must have saved Fleet service details, a completion date, the person who performed the work, and required meter readings. Fleet service does not replace the work order’s logged-hours and meaningful labor-note requirements.
Complete a safety inspection
Section titled “Complete a safety inspection”For Safety inspection service, record the outcome as Passed or Failed and select inspection evidence from a photo or document already attached to the work order.
If the inspection passes, enter the next inspection due date. A failed inspection keeps the vehicle warning active and does not accept a next-due renewal date.
Advance preventive-maintenance intervals
Section titled “Advance preventive-maintenance intervals”For Preventive maintenance, turn on Advance this vehicle’s service intervals only when the work documented on the order actually satisfies the scheduled service. The interval advances when the documented service is completed; reopening the same work order for a correction does not advance it a second time.
Take a vehicle out of service
Section titled “Take a vehicle out of service”On the vehicle record, use Take out of service and enter the reason. If the unit was already removed before MaintenanceOps began tracking the event, use Record current removal. That action records accountability from now forward; it does not invent a past date or actor.
While a unit is out of service, you can link an open response work order. The availability panel retains the removal reason, linked response work orders, current blockers, and attributed action history.
Return a vehicle to service
Section titled “Return a vehicle to service”Completing a work order does not automatically return a vehicle to service. Return it from the Vehicle availability panel after the removal reason has been resolved.
A normal return requires:
- A qualifying completed response work order.
- A final meter reading when the vehicle uses a meter.
- A resolution explanation.
- Confirmation that the unit is ready to return.
If blockers remain, only a manager with the Fleet return-override permission can use Authorized override. The override still requires an explanation and acknowledgment, and the action is retained in history.
Accountability history
Section titled “Accountability history”Fleet retains service saves and completions, availability changes, reasons, actors, dates, linked work orders, and blockers present during an override. Completed Fleet service becomes read-only; reopen the work order when an attributed correction is necessary.
