Vendor documents and compliance

Vendor compliance is easiest to manage when the paperwork lives with the vendor instead of in email threads or shared folders. MaintenanceOps keeps required documents, expiration dates, and current status together so your team can see what is current before sending work.

Each vendor has a Documents & compliance panel. Requirement types can include insurance, tax forms, contracts, licensing, bonding, and emergency contact information.

By default, COI, Workers’ Comp, and W-9 are required. Use Manage requirements to change what your organization expects.

Option Use it when
Upload file You want the actual image or PDF stored with the vendor
Mark received Another department holds the original but you want to record that the requirement is satisfied
Status Meaning
All documents on file Every required item is present and current
Renewal due soon A required document expires within 30 days
Documents needed A required item is missing or expired
No requirements set Your organization has not defined required document types

The same status can appear in the vendor list and on the dashboard.

  1. Handle Documents needed first.
  2. Contact vendors with Renewal due soon before expiration.
  3. Upload the replacement document or update the received status.
  4. Recheck compliance before assigning sensitive, high-risk, or credential-dependent work.

For expiring documents, record the actual expiration date. When a certificate or license is renewed, upload the new document instead of simply changing the date on the old one. That preserves a clearer history of what was on file over time.
