How preventive maintenance works

Preventive maintenance is how routine work gets planned before it turns into a repair. In MaintenanceOps, a PM schedule is a recurring template that creates work orders on a cadence — for example, monthly inspections, quarterly filter changes, or annual equipment service.

  1. Set the schedule — define the task, cadence, due date, assets, and procedure.
  2. Watch the due date — MaintenanceOps tracks when the next cycle is approaching.
  3. Generate the work — the work order appears automatically inside the lead-time window, or you generate it manually.
  4. Complete the maintenance — the technician performs and documents the work.
  5. Move to the next cycle — the schedule advances and waits for the next due date.

For schedules that recur from completion, the next due date is based on when the current cycle was actually completed. This keeps the recurrence tied to the real maintenance history instead of an ideal date that may have slipped.

Automatic generation is the normal setup. When the PM reaches its lead-time window, MaintenanceOps creates the work order without someone having to remember to do it.

You can also turn automatic generation off. A manual-only schedule still tracks when the task is due, but someone chooses when to generate the work order. Manual generation is also useful when you want to start a due cycle early.

A PM schedule can apply to more than one asset. This is useful when several similar pieces of equipment receive the same service on the same cadence.

When multiple assets are selected, the schedule can create either separate work orders for each asset or one combined work order covering all selected assets.

The PM schedules page gives you List, Year, Month, and Week views. Schedules are visually organized by timing, including Overdue, Due soon, and Scheduled, with compliance work identified separately when tagged.

Your dashboard also summarizes preventive maintenance so overdue and near-term work is visible without opening the full PM schedule list.

The PM schedule answers: When should this happen again?

The generated work order answers: What happened this time?

Once generated, the work order behaves like normal maintenance work. The technician can update status, follow the checklist, record labor, parts, purchases, photos, comments, and complete the job. The PM schedule remains behind it, ready for the next cycle.

Consistent PM records help you see whether planned maintenance is actually being completed, what equipment costs to maintain, and where recurring work is falling behind. When procedures and asset links are used consistently, each completed cycle also becomes part of the long-term maintenance history.
