Final closeout review

MaintenanceOps separates finishing the physical work from approving the final record. This keeps completed work from disappearing before management has reviewed the labor, notes, photos, costs, and other closeout evidence.

Managers assisting on a technician-led work order do not review their own work. MaintenanceOps routes the closeout to an independent reviewing Manager or a Super Admin fallback.

The person submitting the closeout must have their own qualifying labor entry. Record actual time and a meaningful note that explains:

  • what work was performed;
  • why it was needed;
  • how it was completed; and
  • how the result was checked or verified, when applicable.

Complete required checklist items and add required photo descriptions. If the work is blocked rather than finished, choose On Hold and record the reason instead.

Managers and Super Admins open Work Order Approvals → Work Awaiting Final Closeout. Select a work order and review the closeout record, including labor, work notes, assets and locations, parts and purchases, photos, checklist results, and completion verification.

Choose one of two outcomes:

  • Approve Final Close — accepts the documentation and completes the work order.
  • Return for correction — select each area needing attention and enter clear instructions of at least 12 characters for every selected item. An overall message is optional.

The decision and reviewer remain visible in Closeout review history. Approved work also shows its completed status throughout the work-order views.

When a closeout is returned, the technician sees Changes requested and the exact items selected by management.

  1. Update the work-order record to address every instruction.
  2. Select Complete requested corrections.
  3. Confirm each listed correction.
  4. Select Complete & Final Close.

The technician does not enter a second closing comment and the work does not return for another approval. The original submission, correction request, completed corrections, labor, and final closure remain in the history.

Only Managers and Super Admins can reopen a completed work order. Select Reopen work order, then enter a specific, non-repetitive reason of at least 20 words and 100 characters.

Reopening moves the work order back to In Progress. The previous record remains intact, and fresh labor plus new closing documentation are required before it can close again.
